Too Many Emails? 5 Tips to Avoid Overload!
15 September 2025

Every day, billions of emails circulate worldwide… and many of them end up in your business inbox.
The result: overload, wasted time, and sometimes even stress. Fortunately, there are simple ways to lighten your inbox and improve your communication.
1. Target your recipients
Avoid endless CC lists. Send your emails only to the people concerned. For group discussions, prefer chat channels such as Microsoft Teams: faster, clearer, and less email back-and-forth.
2. Talk instead of writing
A quick call or meeting is often better than a long email chain. When in doubt, or if you need clarification or coordination, choose voice: it’s more direct and efficient.
3. Send links, not attachments
Share your documents via a link to an online space (SharePoint, OneDrive, etc.). This prevents duplicates and ensures everyone works on the right version.
4. Use chat for short messages
A simple “I’m 5 minutes late” doesn’t need an email. A quick chat message is enough. For internal exchanges, chat is more suitable: instant, smooth, and easy to follow.
5. Centralize information elsewhere
Not everything has to go through email. Use platforms like:
-
SharePoint or intranet for general information,
-
Collaborative tools (Teams, Cisco Webex, etc.) for projects,
-
Outlook/Exchange for scheduling meetings without endless email exchanges.
In summary
Fewer emails = more time to work effectively. By adopting these best practices, you improve your team’s productivity and the quality of your interactions.
